2. What this covers
This Policy applies to our website, app, and connected features we provide. It does not cover third-party sites we do not control. If a customer connects third-party tools (for example email, calendars, or payments), their terms also apply.
3. Roles and responsibility
For website visitors and trials, Dominum Gladii is the data controller. For paying accounts, we act as a processor of end-customer data on behalf of the account owner. GoHighLevel (GHL) and other vetted vendors act as sub-processors that help us deliver the service.
4. Data we collect
•Account & contact: name, email, company, role, phone. Service data: messages, bookings, contacts, deals, quotes, reviews, and activity you store in Solvara.
•Technical: device, browser, IP, pages viewed, timestamps, and basic diagnostics.
•Payments: billing contact, transaction details, and the last four digits/brand of card via our payment provider. Support: information you share in tickets, chat, or calls.
•Optional: marketing preferences and UTM/source metadata.
5. How we use data (lawful bases)
•Provide and secure the service (contract).
•Account setup, billing, and support (contract).
•Product improvement and analytics using aggregated or pseudonymized data (legitimate interests).
•Communications about features, security, or policy changes (legitimate interests or consent where required).
•Compliance with law, fraud prevention, and audit (legal obligation).
6. Sharing and sub-processors
We share data only to operate the service: hosting, email delivery, scheduling, payments, analytics, support. Core sub-processor is GoHighLevel (GHL); others are limited to their function and bound by contract. We do not sell personal data.
7. Retention
We keep data for as long as needed to deliver the service and meet legal obligations. When an account is closed, we follow your instructions to export or delete data. Backups roll off on a scheduled cycle.
8. Security
We use encryption in transit and at rest, access controls with least-privilege, environment separation, authenticated integrations, and monitored backups. Sovereign tier includes roles and audit trail for administrative actions.
No method is perfect; we work continuously to strengthen safeguards.
9. International transfers
Where data moves across borders, we use appropriate safeguards such as Standard Contractual Clauses or equivalent mechanisms, and require sub-processors to do the same.
10. Your rights
